How ArtiProof.org handles personal data

Controller: KopKen VZW, enterprise number 1041.734.171, Lekestraat 122, 9900 Eeklo, Belgium. Contact: info@artiproof.org.

What we process

When you use the contact form, we process your name, email address, optional organisation or university, selected topic and message. Hosting and security infrastructure may process technical request data such as IP address, timestamp and user-agent data in server logs.

Why we process it

We use contact data to answer questions, evaluate collaboration or research proposals, receive corrections and critical feedback, organise talks or try-outs and protect the form against misuse. We do not add contact-form users to commercial mailing lists.

Legal basis

Depending on the context, processing is based on the legitimate interest in operating and improving the public method and research programme and responding to correspondence, or on steps requested by you before a possible collaboration or agreement.

Retention

Correspondence is kept only as long as reasonably necessary. Closed one-off correspondence is normally deleted or anonymised within 12 months unless a longer period is justified by an ongoing collaboration, research record, legal obligation or dispute. Security and anti-abuse data are retained for shorter periods where technically possible.

Recipients

Service providers may support hosting, email delivery and technical security only to the extent needed for those services. Personal data is not sold to advertisers.

Your rights

Subject to GDPR conditions and exceptions, you may request access, correction, deletion, restriction or portability and object to processing based on legitimate interests. You may lodge a complaint with the Belgian Data Protection Authority.

Data minimisation

Do not send confidential, sensitive or special-category personal data unless genuinely necessary and appropriate.
